Data Sensitivity Labels
What are data sensitivity labels?
To get work done, users at ASCO collaborate with a variety of stakeholders both inside and outside the organization. This means that content no longer necessarily stays behind a firewall—it can roam everywhere, across devices, apps, and services. And when it roams, you want it to do so in a secure, protected way that meets ASCO’s business and compliance policies.
Sensitivity labels let you classify and protect ASCO’s data, while making sure your productivity and ability to collaborate isn't hindered. One can think of labels as ‘tags’ on the data that help control who can and who cannot see the data, what one should do with the data, and what can be changed once the data is transmitted outside of ASCO.
Why label documents and email?
We have actively deployed an information protection policy across ASCO. This change adds a new toolbar that allows you to easily label data directly within a document or email, ensuring only the individuals you authorize will have access to the documents you create. Labels should be applied according to ASCO’s Data Security Procedures. NOTE: USERS SHOULD NOT SEND PHI VIA EMAIL.

Highly Sensitive Information
ASCO Confidential
Personal health information, is the demographic information, medical histories, test and laboratory results, mental health conditions, insurance information and other data that a healthcare professional collects to identify an individual and determine appropriate care.
Highly Sensitive Information includes, but is not limited to the following:
. All abstracts submitted to ASCO prior to their presentation at ASCO
. Personal financial information (credit/debit cards/bank numbers).
. Unpublished manuscripts for Journals.
. Any documents or files containing large aggregates (50) of personally identifiable information, such as email addresses, home addresses, birth dates, etc.
. Any documents containing a person's Social Security Number
. Human resource files or salary information for current or past ASCO employees, including information relating to the Americans with Disabilities Act (ADA), Family Medical Leave Act (FMLA), or severance agreements.
. New member applications
. Passwords
. Any other categories of documents or information designated from time to time by ASCO or an employee's supervisor.
ASCO Confidential Information is information that should be used and disclosed judiciously and when necessary i.e. membership lists, attorney-client privileged documents, or non-public financial documents.

Outlook (new)
- Sensitivity labels in Outlook (new) can be found by clicking the icon on the right side of the New mail pane.
- ASCO Confidential and Highly Sensitive Information labels are available in Outlook. Click on the appropriate label for your message to apply the label.
- You can confirm the label has been applied by seeing the icon has changed to the label name, and the label name has appeared above the Send button.
Outlook (old view)
- In Outlook (old view), there is an additional icon for sensitivity labels: and you should see it in the ribbon at the top of the Message pane. The icon also exists in Outlook (old view) and works the same way.
- ASCO Confidential and PII labels are available in Outlook. Click on the appropriate label for your message to apply the label.
- You can confirm the label has been applied by seeing the icon has changed to the label name, and the label name has appeared above the Send button.
Outlook (web)
- Sensitivity labels in Outlook (web) can be found by clicking the icon on the right side of the New mail pane. The functionality is the same as in Outlook (new) and Outlook (old view)
Word / Excel / Power Point
- In Word, Excel, & Power Point client applications, the sensitivity label button can be found in the ribbon on the Home view
- Enter the names of users who should have Read and/or Change access to the document, then click OK to confirm.
Mac
Outlook
- Sensitivity labels in Outlook (new) can be found by clicking the icon on the right side of the New mail pane.
- ASCO Confidential and Highly Sensitive Information labels are available in Outlook. Click on the appropriate label for your message to apply the label.
After click:
Word / Excel / Power Point
- In Word, Excel, & Power Point client applications, the sensitivity label button can be found in the ribbon on the Home view
- On Mac, this will pop out a new window with the sensitivity option towards the bottom, above the file path:
- Enter the names of users who should have Read and/or Change access to the document, then click OK to confirm.
- Once you’re done, you will see a banner at the top of the document indicating that access is restricted:
