StratusLIVE and Dynamics 365 App for Outlook
With the Dynamics 365 App for Outlook, you will be able to:

Link/track email messages, meetings, and appointments to an Account or Contact record,

Open the Account or Contract records directly from Outlook to find or enter more detailed information,

Create a new activity record for the Account or Contact; specifically, a task, appointment or phone call directly from Outlook and
-
Create a new Contact record.
Link/Track Email Messages to an Account or Contact

1. When you start Outlook, you will get a login window for StratusLIVE. Type in your credentials. Outlook may take a couple of minutes to open.

2. Select an existing email message in your Inbox, or create a new email message or appointment.

3. On the ribbon, click the Dynamics 365 button.

4. Prior to the Customer Engagement pane appearing on the right side of the screen, you will be prompted to log into StratusLIVE again. After re-entering your StratusLIVE credentials, you will see a pane on the

right-hand side

5. Draft your email. Please note that you can track an email to a contact or account record even if that party is not the recipient of the email. After you have drafted the email, Click on Track.

6. Enter some criteria into the Search block. The Search is similar to the Search within StratusLIVE. E.g. You use an asterisk (*) between first and last names to compensate for unknown middle initials or names. Click on the magnifying glass to initiate a Search.

7. The Search will return results and you can select the contact or account record you want to track the email to.

a. You can also track an email to an Opportunity. Relationship managers may want to associate an email to an opportunity record and this can also be done.

i. In the Search box, enter the name of the donor. The search results will return not only Contact records but Opportunity records. See example below:

ii. Select the Opportunity record you want to associate the email with and the linking icon with appear.

8. Once you have selected the contact or account, the Dynamics 365 app will indicate the tracking has worked. You don’t have to send the email for the tracking to work.

9. If you need to remove tracking, you can do this by clicking on Change and following these steps. The email will be removed from StratusLIVE.
Open the Contact or Account records directly from Outlook to find or enter more detailed information
If you want to open the contact or account record directly from Outlook, click on the arrow icon. This will automatically open your internet browser. You will be prompted to log into StratusLIVE and taken directly to the contact or account record you selected.
Create a new activity record for the Account or Contact; specifically, a task, appointment or phone call directly from Outlook
Using the Dynamics 365 App, you can also create a task, appointment or phone call activity record directly from Outlook.

1. Once you have selected a contact or account record, you can click on the plus sign icon to reveal a menu of with three options: a) Task, b) Appointment or c) Phone. Please note that these options are designed to make it easier to manage contact records. The following example will illustrate the creation of a task only.

2. Within the Dynamics 365 window, you will have all of the field options related to setting up a task. Per Conquer Cancer business procedures, please provide a clear Subject, Description, Due Date, Owner (if not you), Activity Category and Activity Subcategory for the task activity and click on Save.
Create a new Contact record using Dynamics 365
Using the Dynamics 365 App, you can also create a new account, contact or opportunity record directly from Outlook.

1. Click on New to reveal the drop-down menu of options. Select the appropriate one – Account, Contact or Lead.

2.If you choose to create either an account or a contact record, you will be given the same options as if you were within StratusLIVE. Click on “Save.”

3.The system will run duplicate detection and if the contact or account that you are trying to create matches an existing record, you will get an error message. Click on “Cancel.” Retry your search using less restrictive search terms.

4. If you choose to create an opportunity, you will be prompted with the following window.
