Frequently Asked Questions
1. How do I join a Zoom meeting?
You can join a meeting by clicking the meeting link, going to join.zoom.us and entering in the meeting ID, or via telephone. It is recommended that you join Zoom sessions outside of VDI. You can also join a test meeting to familiarize yourself with Zoom. Learn more about joining a meeting.
2. How do I join computer/device audio?
On most devices you can join computer/device audio by clicking Join Audio, Join with Computer Audio, or Audio to access the audio settings. Learn more about connecting your audio.
3. How do I schedule a meeting?
You can schedule a meeting on the web, through the Zoom Desktop client or mobile app, or through Outlook 365 integration. Learn more about scheduling a Zoom meeting.
4. Does that recording notification pop up every time you record a session?
Yes, attendees will always receive a notification that the session is being recorded. Additionally, if you an attendee joins a session after the recording starts, it will notify them upon entry.
5. How do you get back to your Zoom profile page?
There are two options. In the Zoom app, you can update your profile settings by clicking icon in the upper righthand corner. In the Zoom Web version, you can update your profiles settings by selecting the icons in the left-hand side of the page here.
6. Are we able to change our display name in our profile?
Our profile display name setting will remain as your email address. You can change your display name upon entry to a meeting or webinar by right-clicking on your screen and selecting “rename”.
7. How do you mute all on entry? Is that done in the initial scheduling of the meeting?
When setting up your meeting, or in the meeting settings, select the feature ‘mute all attendees upon entry’. Additional muting and unmuting options can be found here.
8. What are the waiting room options?
You can turn on/off waiting rooms in your meeting settings. The webinar hosts will need to admit attendees into the meeting or webinar when the waiting room is enabled. Learn more about waiting rooms here.
9. Can participants increase the size of their screen to make a being shared more visible??
In the meeting, hover over the top of the screen and choose "view options" which allows you to zoom in further. If you are interested in other video layouts, click here.
10. Can I save a participant list?
If you want to export the participant details of a particular meeting, go to Zoom in your Web browser, select reports on the left-hand side of the page, click usage, find desired meeting, click on participant total, then click Export details to CSV. Learn more about generating reports here.
11. If we add an alternative host - does the cohost get an appointment sent to their calendar automatically?
Yes, the cohost will get an appointment. Learn more about alternative host settings here.
12. Is there a way for the host to screen share a slide or image to all breakout rooms?
No, the host can not share slides or images to breakout rooms. You can message the breakout rooms via chat. A best practice is to drop the necessary breakout files into the chat before opening the rooms. Learn more about managing breakout rooms here.
13. Is everyone with an account a licensed user?
Yes - everyone at ASCO has a licensed account.
14. Can you do pulse polls in Zoom?
Yes, you can set up polls ahead of a meeting in the settings and add polls throughout the meeting. Click here to learn more.
15. As a host can you unmute a participant?
As a host you can mute participants, but you must ask to unmute. Learn more here.
16. If someone dials in instead of joining video, will they be able to unmute themselves?
Yes, you will be able to unmute and communicate using the phone commands. FYI – It is important to have participants names & phone numbers ahead of time to place them in breakout rooms as their name will not be listed.
17. Can you manually assign breakout rooms pre-meeting?
Yes, before launching the meeting you can pre-assign breakout rooms by uploading a CSV file in the meeting settings. Learn more here.
18. How do participants raise their hand?
Participants and attendees can raise their hand and add additional reactions by clicking on reactions in the Zoom banner.
19. Can you turn off chat notifications as a host?
No, chat notifications will always be on during the meeting. Learn more about in-meeting chat settings here.
